Getting Started

What is Heightly?

Heightly analyzes your business bank and credit card statements and categorizes your income and expenses, making it easier to prepare your tax return. It is designed to save time by organizing your financial transactions into a Tax Prep Report.

Does Heightly file my taxes?

No. Heightly prepares your financial information, but it does not file your tax return or submit information to a tax authority. Your completed report can be used by you or your accountant when preparing your taxes.

Which tax year should I choose?

Select the tax year that matches the business income you want included in your report. Only transactions within the selected tax year are included; transactions outside that period are automatically identified and excluded.

Uploading Your Statements

What statements do I need to upload?

Upload all business bank statements covering the selected tax year. If you use a business credit card for business expenses, upload those statements as well. Multiple bank and credit card accounts are acceptable. However, there are limits to uploads, so if you have multiple accounts we recommend using our CSV option and exporting your full year into a single CSV. Ensure only one account is included per upload, as our system may otherwise not accept it and it would not pass some of our error-check systems. We recommend not including any personal bank or credit card accounts. Instead, if you have paid some expenses or received income via your personal account, there will be an option during the process to provide additional expenses paid outside of your business accounts.

Is there a maximum amount of transactions that can be processed?

Yes — we have made the determination to limit the number of transactions to 2,000 per tax year. This is for all bank and credit card transactions combined and is not per account. This limit was added with care and consideration. Our product is designed for unincorporated sole proprietors with simple business structures. If you have transactions in excess of this, we suggest considering accounting software such as Xero or QuickBooks Online.

Can I upload statements in multiple currencies?

No — Heightly supports only one currency per report. It will assume all uploaded statements are in the same currency.

Which file formats are supported?

Heightly supports PDF statements and CSV transaction exports. Each uploaded file may be up to 10 MB.

Can I upload multiple statements?

Yes. You can upload multiple bank and credit card statements, and Heightly combines the transactions into one report. The Solo plan includes one account type — bank or credit card, with multiple accounts of that type allowed. Adding a second account type, such as both bank and credit card statements, moves you to the Complete plan. Any expenses paid outside of your business accounts can be uploaded later in the process using our "off-bank" expense template.

Can I remove or replace a statement?

Yes. Before processing begins, you can remove an uploaded statement and replace it with the correct file. Heightly may also prompt you to re-upload a file with different settings if it detects a possible data-mapping issue. If you have issues during the process, please contact hello@heightly.ai.

What if my statements do not cover the full year?

Heightly shows the date range and tax-year coverage detected in your uploads so you can identify missing months before processing. For the most accurate report, upload statements covering the entire tax year.

Can I upload personal accounts?

Heightly is designed for business bank and credit card accounts. Please do not upload personal accounts, as they may contain transactions that should not be included in your business records. If you paid business expenses outside the uploaded accounts — for example, with cash, a personal credit card, or a gift card — you can identify those expenses during the business-question stage and include the information now or add it later before filing your return. An Excel template is provided for these expenses. Revenue that was deposited to personal accounts can also be added during the question process.

Upload Review

What does Heightly show after I upload my statements?

Heightly displays a summary of the uploaded data so you can confirm that the correct files were included: uploaded account types and statement count, detected account name and date range, transaction count and tax-year coverage, gross deposits and gross debits, and a sample of uploaded transactions.

What happens if I upload the wrong file or the data looks unusual?

Heightly performs validation checks during upload. If it detects a possible issue — such as debit and credit columns appearing to be reversed — it displays a warning and asks you to correct the settings before continuing.

Questions About Your Business

Why does Heightly ask questions about my business?

Your answers help Heightly understand your business activities and categorize your transactions more accurately. The questions may cover areas such as vehicle use, employees or contractors, home-office use, and business expenses paid outside the uploaded accounts.

Do I need to have every detail ready?

Not always. For certain items, such as home-office information or business expenses paid outside the uploaded accounts, Heightly may allow you to provide the details now or add them to your report's to-do list for later.

Payment

When do I pay?

Payment is completed before transaction processing begins. The payment screen shows the selected tax year, plan, price, and statement coverage so you can confirm your purchase. Processing begins after payment is confirmed.

Which payment methods are accepted?

Payments are securely processed through Stripe. Available methods may include credit cards, Apple Pay, and Link, depending on your device and browser. Applicable taxes are added at checkout. Heightly does not store your card details.

Processing

How long does processing take?

Processing time depends on the number and complexity of the transactions being analyzed and may take several minutes. The processing screen displays the total number of transactions being analyzed.

Can I close my browser while processing?

Yes. Once processing starts, you can safely close the browser tab or turn off your computer. Heightly continues working in the background and emails you when the report is ready for review.

Will I receive an email when my report is ready?

Yes. During the process, you may receive emails confirming that your report is being prepared, that it is ready for review, and that the final report is ready to download. Use the link in the relevant email to return to your report.

Reviewing Your Transactions

Can I review all my transactions?

Yes. The Review screen displays every transaction included in your report, not only the transactions initially flagged for review. You can search by description or merchant and filter by category, capital transactions, or personal transactions.

Can I change a transaction's category?

Yes. Select Edit beside a transaction to change its category or classification before continuing to your report. Review decisions are saved automatically.

Your Report: What You Receive

What happens after I finish reviewing my transactions?

Once you complete your review, Heightly prepares the final Tax Prep Report. Report generation usually takes two to three minutes, and you can safely close the tab while the files are being prepared. You will receive an email when they are ready.

Which files will I receive?

Two files: a PDF report and an Excel workbook. The PDF is the summary your accountant or tax software works from — your income and expenses organized by tax line, plus the supporting sections described below. The Excel contains every transaction behind those totals, so any figure in the PDF can be traced back to the individual transactions that make it up. Keep both: your accountant will usually want the Excel detail when preparing your return.

What is included in the PDF report?

It opens with a session summary — your tax year, the transaction period covered, and how many transactions were analyzed, excluded as duplicates, or set aside as personal. The main section is your income and expenses grouped by category, each mapped to the matching IRS Schedule C line or CRA T2125 line, with category totals and a net income subtotal before tax adjustments. Depending on your situation the report may also include capital assets listed separately for depreciation, a 1099-NEC candidate review (US), a home office worksheet, personal income tax instalments identified in your statements, and a GST/HST summary if you are a Canadian registrant. It closes with reminders — self-employment tax, the qualified business income deduction, self-employed health insurance — and disclaimers covering methodology and limitations.

What is in the Excel workbook?

A Summary sheet mirroring the PDF category totals, a Transactions sheet listing every categorized transaction with its date, description, amount, category and tax line, and separate sheets for capital assets, excluded transactions (duplicates and personal items), income tax instalments, and anything flagged as needing review before filing. This is the supporting detail behind the PDF — it is what lets your accountant check any total rather than take it on trust.

Limits and Requirements

Is there a transaction limit?

Yes. Each report currently supports up to 2,000 total transactions across all uploaded statements combined — this is not per statement or per account.

What happens to transactions outside my selected tax year?

Transactions outside the selected tax year are automatically identified and excluded from the report totals.

Troubleshooting

I accidentally closed my browser. Do I have to start over?

No. Once processing has started, your report continues in the background. Use the email sent by Heightly to return when it is ready.

I did not receive my report email. What should I do?

First, check your spam or junk folder. If the email still has not arrived, select Resend Email where available. If you still cannot find it, contact Heightly Support.
